Why purchase order management matters on Shopify
Shopify has no native purchase order workflow, so most merchants build POs in a spreadsheet, email them to vendors, and then manually update inventory when stock arrives. The moment that PO exists, someone also has to key it into QuickBooks - and every manual step is a chance for the numbers to drift.
ForgeIMS closes the loop: reorder data generates the PO, the PO tracks cost and expected date, receiving updates inventory, and the corrected count syncs to Shopify - which already feeds QuickBooks, ShipStation, and your 3PL.
The ForgeIMS purchase order workflow
Every PO moves through a clear status - draft, sent, partial, received, or cancelled - with cost and expected-date tracking on each line. You can create a PO from scratch, or generate one directly from your reorder suggestions so you're always buying what the forecast says you need.
When stock arrives, the receiving step records quantities received per line, calculates totals, and updates inventory - and that updated number flows to Shopify automatically.
- Draft-to-received PO status tracking
- Line-item cost and expected date
- Generate POs from reorder suggestions
- Partial receiving with running totals
- Receiving auto-syncs inventory to Shopify
Vendor management built in
ForgeIMS keeps vendor contacts, lead times, and notes in one place, so reorder suggestions account for how long each supplier actually takes to deliver. You always know which vendor supplies a SKU, what their lead time is, and when to place the order to avoid a stockout.
